The Office Administrator provides general administrative and secretarial support for the Cristo Rey Counseling Services Department. The following represents a summary of the major duties and responsibilities performed in this position. The Office Administrator may perform related tasks other than those specifically stated at the request of the Counseling Services Director.

Responsibilities

  • Responsible for billing activities and documentation
  • Responsible for the collection of data as requested by the Counseling Services Director
  • Responsible for the collection of fees and the billing of clients
  • Produce finished letters, memorandums, reports, and other documents from dictated, printed, typed, or hand written drafts or corrected copy as assigned
  • Composes and produces correspondence and other materials from outlined instructions as assigned
  • Typing of reports and other required correspondence
  • Responsible for the upkeep and safety of client files
  • Assist in client services
  • Schedule appointments for counselors
  • Act as an agency representative to promote services and program
  • Responsible to Counseling Services Director
  • Coordinates and documents projects and activities as assigned
  • Maintains event files and general administrative files
  • Responsible for the supervision and coordination of the phones and reception area
  • Prepares staff meeting minutes, reproduces and distributes material as required
  • Other duties as assigned

Qualifications

  • Exceptional organizational ability with skill in prioritizing multiple projects
  • Proficient in the use of computers
  • Good verbal and written communication skills
  • Bilingual (English and Spanish) preferred
  • Special abilities and skills necessary to perform the required tasks that best meet the needs of the agency will also be considered
  • Experience with multi-tasking environment

Education & Experience Request

  • High School Diploma or equivalent
